Analysis of Data- Stage 1: in Information System
Analysis of Data is a mandatory requirement in ISO implementation.
One of the major areas which many businessmen / industrialist lack clarity is Analysis of Data.
If you go through the ‘ISO 9001:2000/2008 standard-Quality Management System-Requirements’, and count number of word SHALL printed, it will exceed more than100. That means more than 100 objective evidences is required for assessing the capability of a company for its ability to sustain and improve.
In the case of continual improvement, ISO 9004:2000 provides guidelines on each of the ISO 9001:2000/2008 clauses. If you plan to implement such an elaborate Quality Management System, then the requirement of number of objective evidences could exceed more than 250.
To tell you the truth, knowingly or unknowingly, most of them exist in your organization! The fact remains that you cannot run an organization with out a plan. Then what is the problem? The problem lies in the fact that the planning maybe badly prepared or it is inadequate.
For implementation of an activity in an organization, let us broadly classify the processes of implementation as under, for better understanding and analysis.
Information System
Need Assessment
Gap Analysis
Managing Process
Operational Process
Process flow
Now let us take the first one – Information System
Therefore,in order to have a strategic planning, it is conclusively concluded that you require adequate information on the activity/ process you are planning. I hope you all agree with me.
Assuming that already the process is identified,
How do you assess the adequacy of information?
For clarity sake, let’s broadly classify information as under (Reproduced from my earlier BLOG, Information Assets)
Information on Customer perspective
Information on Stake holder’s perspectives
Information on Financial perspective
Information on Organizational perspectives
Information on operational perspective
Information on Innovative & Growth perspective
Is that all? No, the list continues

Please refer my Blog on Information assets to understand the following
Customer Perspective- end user
Customer Perspective- external
Customer perspective- internal (employees)
Financial perspective
Operational perspectives
Innovative and growth perspective we will discuss, when we discuss on ISO9004, separately.
Once we have the required information on above mentioned. It should followed by
Need assessment.Because, requirement for all the above information parameters, varies based on company to company, Organization to organization.
Need assessment is carried out on each parameter mentioned above with respect to PQCDSM. That is, Profit, Productivity, Cost reduction, Delivery on time, safety, and Morale of the employees.
Next step is Gap analysis. That is, we are bridging the gap between the existing resources and what is left out.
The processes involved in collecting information, evaluating the information, Need assessment based on PQCDSM + Statutory and regulatory requirements, Gap analysis, and its Review forms the Information System of the company.
Analysis of each parameter based on PQCDSM on activities and its sub processes is identified under Clause no 8 of ISO9001:2000/2008 standards
Similar approach is required on
Managing processes, which include, planning, monitoring and control
Operational processes, which include, Man, Machine, Methods, Infrastructure, Work Environment, waste control, Environment, Occupational health and safety, Social accountability.
Process flow include Purchasing of Raw material to finished product through variousstages of production, packing, transport, Delivery on time.
Therefore, Analysis of Data means extracting factual information from data for use in decision- making. This is expressed by Factual approach of quality principle
