How to make a User-Manual?
1. Visual Effect – While creating a User-Manual one should use appropriate screen shots which will help the User/Reader understand what is being described. You can also use SNAGIT (SNAGIT - Screen Capturing Tool) which will help you highlight or make signs on the screen captured, thus helping you to guide the reader the area you are trying to emphasize on.
2. Language – The Language used should keep the Target Audience in mind. Some guides may require Technical Jargons which the Target Audience will be more familiar with, which in return help them understand the Product Functionality. The Language and the Sentences should be Precise any form of Exaggeration may divert the Readers attention and he may lose interest.
3. Numbers and Bullets –Creating Points with the use of Numbers and Bullets helps the User follow the steps systematically. It makes the document simple and approachable hence making it more user-friendly.
4. Verb – One of the most important things to remember while creating a User-Manual is the art of using the Verb. Every new point should begin with a verb. If you logically think about it you will realize that verb is nothing but Action and your aim is to make the Reader or User ACT upon the Product. The Verbs we often use are: Enter, Check, Receive, Click, Fill, etc.
5. Fonts & Index - Color and Size of the Fonts help emphasize the importance of the Word or Action, again one should avoid exaggeration and stick to the Theme or keep it Simple. If the Guide or the Manual is very long you can create an Index this will help the Reader to directly move to the page of his concern.
6. PDF – The Final and the most important step is to convert your Document in the PDF Format this protects your Document from being easily copied and thus helps maintain the Confidentiality.
